Fix Short Interval Between Send and Receive Connection

If the Send/Receive interval is set below 5 minutes, then the message takes a long time to upload to the email server. Also, it means that the next email has already started before it has finished the previous one.

This will result in a backlog of Send/Receive tasks that must still be completed. In the worst-case scenario, the message that is still in the Outbox will be resubmitted for sending, resulting in a duplicate.

  • Launch MS Outlook and go to the Send/Receive tab.
  • Select the Tools tab and then the Send/Receive
  • Go to Send/Receive Settings and then Show Progress.
  • A new pop-up window appears, displaying the two progress bars. If you check, the interval time is set to short, the probable reason for Outlook sending multiple emails.

Change Interval Time

  • Open MS Outlook and select the Tool tab.
  • Click on the Send/Receive option, Go to Send/Receive settings, and finally select the “Define Send/Receive Group”.
  • The new pop-up window appears, now called “Send/Receive Group.”
  • Now, you can schedule an automatic send/receive for every option in the Send/Receive Group.
  • You can easily decrease the interval time in the option. After completing the process, you can retry sending emails.

Disable or Uninstall Antivirus

One of the majorly known reasons for Outlook sending multiple emails with attachments is due to the integrated antivirus in MS Outlook. So, try to disable the antivirus before you send out emails again.

Get Rid of the Server Timeout Issue

Server Timeouts are supported by POP3 and IMAP accounts. This basically tells Outlook when a connection should be considered “lost” if no server response is received after a specified amount of time. The time is set to 1 minute.

Increasing the Server Timeout to 2 or 3 minutes may help. Setting it for more than 3 minutes is not recommended because it often indicates that the problem is elsewhere.

For the 2010 version or higher:

  • Go to File > Account Setting.
  • Double-click on the email creating trouble in the Email Tab.

How to Stop Receiving Duplicate Emails in Outlook?

Make Sure That Only One Program is Running

  • Right-click on the Taskbar. Go to Task Manager 
  • Go to the Processes Tab.
  • Click Image Name. Since they are sorted alphabetically, you can find Outlook.exe. In case you have multiple such files, you receive duplicate emails.
  • Right-click on Outlook.exe and End Task. Click Yes on the confirmation dialog box. 

Make Sure to Avoid Leaving Message Copies on the Server

  • Open Outlook. Go to Tools > Email Accounts.
  • Go to View and Change Existing Email Accounts. Go to the Next button.
  • Select your email account and Change.
  • Go to More Settings > go to Advanced Tab.
  • Lastly, click the remove the check in the box beside “Leave a copy of messages on the server”. Click OK.

Check for Profiles with Two POP3 Accounts

  • Open Outlook > Tools. 
  • Click Send/Receive Settings, then Define Send/Receive Groups.
  • Double-click on the group to check for the different accounts.
  • Click on the account you do not want to receive emails from and check on the box with the message, “Receive mail items.”
